Capacity on paper versus capacity in practice
Hotel fact sheets quote theatre-style capacity at maximum density, with no stage, no aisles and no camera positions. By the time you have added a 12-metre set, two side screens, a technical riser and legal egress, a "1,200 theatre" room often seats 780. We shortlist against the set you actually want, and we walk rooms with a tape measure rather than trusting the PDF.
Registration and arrival
The first fifteen minutes set the tone for three days. We build registration to clear the expected peak - not the average - which usually means more desks than the venue suggests and a separate lane for VIPs and speakers. Pre-printed badges sorted by company, staff briefed on the delegate list, and a visible help point for the people whose booking went wrong.
Speakers
External speakers create a disproportionate share of the risk: late slide decks, unrehearsed transitions, flights that connect through a single hub. We collect presentations to a deadline, run rehearsals in the actual room, and build the travel with a buffer that assumes one leg goes wrong.
Interpretation and accessibility
Programmes crossing Indonesia and Thailand frequently need English plus one or both local languages, and sometimes Mandarin, Japanese or Korean for regional delegations. We source booth interpreters with sector experience rather than generalists, and brief them on your terminology in advance. Hearing loops, captioning and step-free routing are specified at venue stage, not retrofitted.
The evening
Conference dinners fail when they are planned as an afterthought to the day programme. Transfer timing, dress code communication, seating plans that serve your commercial objectives, and a finish time that respects an 08:30 start the next morning - all of it is part of the same run-of-show.
